Job Summary:
The Veterinary Hospital Receptionist is responsible for providing exceptional customer service and administrative support within the veterinary hospital. This role plays a vital part in ensuring smooth operations and promoting a positive experience for both clients and patients. The Veterinary Hospital Receptionist serves as the first point of contact for clients, handling inquiries, scheduling appointments, maintaining medical records, and facilitating effective communication between clients and veterinary staff.
Essential Duties and Responsibilities:
1. Greet and welcome clients and visitors in a professional and friendly manner.
2. Answer phone calls promptly, providing accurate and informative responses or directing calls to the appropriate staff members.
3. Schedule appointments and manage the appointment calendar efficiently.
4. Collect and update client information, including contact details, insurance information, and medical history, ensuring accuracy and confidentiality.
5. Facilitate the check-in and check-out process for clients and patients, ensuring all necessary paperwork is completed correctly.
6. Process payments, including cash, credit card, and insurance transactions, and maintain accurate financial records.
7. Maintain and update patient medical records electronically, ensuring completeness and accuracy of information.
8. Coordinate communication between clients and veterinary staff, ensuring timely relay of messages, test results, and prescription refill requests.
9. Provide accurate information to clients regarding hospital policies, services, and procedures.
10. Assist with inventory management, including ordering and stocking of supplies.
11. Maintain cleanliness and organization of the reception area and front desk.
12. Assist with additional administrative tasks as assigned by the Practice Manager or Veterinarian.
Qualifications and Skills:
1. High school diploma or equivalent required. Additional education or certification in veterinary medicine or related field is an advantage.
2. Proven experience in a customer service role, preferably in a veterinary or medical setting.
3. Excellent verbal and written communication skills, with the ability to communicate effectively with clients, staff, and veterinarians.
4. Strong organizational skills and attention to detail to manage multiple tasks simultaneously.
5. Proficient computer skills, including knowledge of veterinary practice management software, electronic medical records, and Microsoft Office Suite.
6. Ability to remain calm and professional in stressful situations, demonstrating effective problem-solving skills.
7. Knowledge of veterinary medical terminology and procedures is preferred.
8. Compassionate and empathetic demeanor when interacting with clients and patients.
9. Ability to work collaboratively as part of a team and to establish and maintain positive working relationships with colleagues and clients.
10. Flexibility to work evenings, weekends, and holidays as needed.
